Terms of Participation for Clubs in the Prague Handball Cup 2026 and GDPR Conditions
1. Terms of Participation
1.1. A club is understood to be a group (one or more teams) that has submitted a separate application with a unified club name and an identification number assigned by the organiser. The club's representative is the person listed in the application as the contact person.
1.2. The club's participation in the tournament is conditional upon the payment of all fees no later than 7 February 2026 (date of receipt of payment in the organiser's account). If the fees are not paid in full by this date, the organiser reserves the right to deny the club entry to the tournament.
1.3. The organiser commits to refund the participation fees (except for the team entry fee) under the following conditions:
● 100% if the club withdraws no later than by 1 March 2026,
● 70% if the club withdraws no later than by 6 March 2026,
● 50% if the club withdraws no later than by 17 March 2026.
If the club withdraws after 17 March 2026, all fees paid will be considered cancellation fees, and the club will not be entitled to a refund.
These conditions also apply if the club withdraws only part of its teams or participants.
The organizer has the right to set individual cancellation conditions for packages A, B, and C, in case that the specific hotel sets different conditions (the club will be notified of these conditions in advance).
1.4. The organiser will accept (subject to the conditions in clause 1.2) the first 500 teams based on the order of received applications. Additional teams above this limit may be included in the tournament depending on the availability of accommodation and playing facilities. The organiser reserves the right to select these teams at its discretion, without being bound by the order of received applications. This rule also applies to new teams from a club that has already been registered.
1.5. The organiser is not responsible for financial losses or damages caused by circumstances of "force majeure" (e.g., war events, natural disasters, government regulations, strikes, or other similar situations). For these reasons, the organiser also reserves the right to modify the terms of participation for teams in the tournament.
1.6. All participants acknowledge the health risks associated with this sporting activity and accept these risks by participating in the tournament. The organiser does not provide insurance for participants during their participation in the tournament. Participants take part in the tournament at their own risk.
1.7. The organiser reserves the right to exclude participants, i.e., individuals, teams, or clubs, from the tournament if they seriously or repeatedly violate the rules and instructions of the organiser, damage the reputation of the tournament or the organiser, or restrict the rights of other tournament participants.
1.8. In the case that a tournament participant causes damage to property, the club shall be responsible for this damage.
2. GDPR Conditions - Protection of Personal Data
2.1. In accordance with Regulation (EU) 2016/679 of the European Parliament and of the Council on the protection of individuals with regard to the processing of personal data, the personal data provided by the club representative will be collected, recorded, stored, and processed for the period necessary to fulfil the objectives of the Prague Handball Cup. The processing will be carried out to ensure the mutual rights and obligations arising from it.
2.2. The club representative acknowledges that the organiser is authorised to provide personal data of tournament participants to third parties to a reasonable extent, based on legitimate or public interest. The personal data provided will be used in cooperation with the following entities:
● City of Prague – personal data (name, surname, year of birth) will be used privately as a basis for a financial support request,
● Prague Public Transit Company – personal data (name, surname, year of birth) will be used privately to verify eligibility for the use of public transportation.
2.3. The club representative agrees that the organiser will take photographs and video recordings of tournament participants during the tournament, which will be used in promotional materials on the website and social media solely for the purpose of promoting and supporting the tournament.
2.4. The club representative acknowledges that the organiser may publish some photographs and video recordings to a reasonable extent based on legitimate or public interest.
2.5. The club representative undertakes to obtain consent from each player (or legal guardian in the case of minors) and official regarding the processing of personal data and the taking and use of photographs and video recordings.
By submitting the application, the club representative officially registers the club for participation in the tournament, and by doing so, commits both the club and the individual players and officials to comply with the Terms of Participation and GDPR Conditions.
